Privacy Notice
Purpose
Rental Passport SA is designed to facilitate property-specific, consent-based sharing of structured rental-history information between verified participants. It is not intended to operate as a public tenant blacklist.
Information designed to be processed
Account details, cryptographic identity-match fingerprints, property and lease information, structured payment-history fields, inspection information, documentary evidence, formal dispute/outcome information, consent records and security audit logs.
Information intentionally excluded
The product is not designed to collect race, religion, sex, pregnancy, marital status, sexual orientation, disability, political views or subjective character reviews for screening.
Identity matching
The pilot converts a supplied 13-digit South African ID number into a keyed cryptographic fingerprint and stores a masked display value. The raw ID number is not written to the application database.
Access
Landlords do not receive a public search tool. Access to a tenant’s Rental Passport is tied to a named screening case and tenant consent. Administrators have review access for verification, disputes and security operations.
Accuracy and disputes
Tenants can view rental records linked to them and raise a dispute. The record is marked while review is pending. The review process can correct or reject information and records the outcome.
Retention and deletion
A final retention schedule must be approved during legal review. Production must support expiry, deletion, lawful preservation where necessary and auditable handling of data-subject requests.
Regulatory status
The application remains in legal-review mode until South African counsel has confirmed the applicable POPIA, National Credit Act, Rental Housing Act and regulatory requirements, including whether prior authorisation and/or credit-bureau registration are required for the final business model.
